What are scancodes?

A scancode is a machine-readable barcode that can be scanned to quickly enter items in RyderShip. All retail items must have a barcode to ensure inventory accuracy and traceability. Each product is assigned at least one barcode and a corresponding scancode in RyderShip.

If the product already has a printed barcode, that barcode will be used as the scancode in RyderShip.

If there is no printed barcode but the item has a SKU, the SKU will be assigned as the scancode, and barcode stickers will be applied at the cost specified in your contract.

Barcodes generated by RyderShip are not UPC codes. If a UPC is required, it must be purchased separately from an authorized UPC vendor.

Scancode requirements & rules

Valid scancode characters:

  • Uppercase letters: A-Z
  • Lowercase letters:  a-z
  • Numbers: 0-9
  • Special characters including: 
    • space
    • hyphen:  -
    • underscore:  _
    • backslash:  /
    • period:  .
    • hash or pound sign:  #
    • colon:   :
    • plus sign:  +
    • comma:  ,
    • parenthesis:  (  )  
    • question mark:  ?
    • apostrophe: 
    • square brackets:  [  ]
    • asterisk:  *
    • ampersand:  &
    • percentage sign:  %
    • quotation mark:  
    • pipe:  |
    • dollar sign:  $
    • exclamation mark:  !
    • at sign:  @
    • angle brackets:   <  > 
    • grave accent (backtick):  `
    • equal sign:  =

Scancode rules: 

Warning.pngAs a best practice, we recommend scancodes use a maximum of 16 characters. If scancodes have more than 16 characters, we will not be able to scan them and will require new scancodes to relabel. 

Technically, scancodes have a limit of 255 characters. 

  • A space cannot be the first or last character of a scancode
  • Using an invalid scancode for a new item will result in an item with no scancode
  • Trying to create an invalid scancode for an existing item will result in an error
  • Items have an upper limit of 100 scancodes. Trying to add more than 100 will result in an error
  • Users cannot archive items with inventory on shelves.
  • Archiving items will also delete all associated scancodes (history is preserved)
  • Unarchiving an archived item does not attempt to restore previous scancodes

How do scancodes work? 

Each item must have at least 1 scancode. Scancodes can be added or removed on the Item Details page and the Inventory Control tab. See Item Details for more information. 

Scancodes can no longer be deactivated – only removed. 

RyderShip currently has primary scancodes, but this concept is being phased out.

FAQs

What happens if a scancode is more than 16 characters? 

The physical limit of default Whiplash-generated labels is 16 characters. Scancodes longer than 16 characters just run off the edge of the label and are unscannable. New scancodes are required to relabel items.

Should two items from different customers be allowed to have the same scancode? 

    Yes, they can have the same scancode.

Should two items within a single customer be allowed to share the same scancode? 

    No.  Items must have their own scancode.
